We are currently looking for an individual to be
appointed as a Legal Assistant within the
Legal Team.
Role Overview
We are looking for a proactive and organised Legal Assistant to support our Legal team in delivering high-quality services to leaseholders and clients. This role is essential to the smooth running of the department and involves a wide range of administrative, conveyancing, and legal support tasks.
The successful candidate will work closely with junior legal managers, legal managers, and senior team members, providing efficient administrative support and assisting with day-to-day legal and conveyancing matters, and help with general office administrative duties.
Key Responsibilities
Administration & Office Support
- Scan, process, and distribute all incoming legal post daily via in-house systems or email
- Manage printing, franking, and outgoing post
- Oversee office stock levels and order supplies
- Support day-to-day office operations, including kitchen supplies and shared office tasks
- Manage the Herts office parking rota and vehicle registration
- Administer the Deliveroo account for the Herts office
- Cover the Legal team phone line, transferring calls and recording messages accurately
- Dealing with tasks on our in-house systems.
Conveyancing & Legal Support
- Monitor shared inboxes and proactively manage and flag emails for relevant team members
- Ensure correspondence replies are within the team SLA
- Record and monitor payments on Intouch and Blockman, checking Xero and chasing outstanding payments where necessary
- Issue LPE1 PM forms and invoices
- Allocate Intouch matters to team members fairly and efficiently
- Assist with conveyancing and legal matters, including providing cover during team absences:
- Responding to basic conveyancing enquiries from LPE1 request through to sales completion
- Help the team with Landlord Deed of Certificate requests
- Supporting and responding to basic consent requests (e.g. subletting and pets)
- Preparing EWS1 supplementary letters
- Assisting with death of owner and probate-related matters
- Producing Certificates of Compliance and RX documents
- Downloading Land Registry documents
- Managing post-completion documentation and registrations on Blockman
- Assist with company secretarial duties, including:
- Updating registers of members
- Director appointments and resignations
- Share transfers
- Filing confirmation statements

Legal & Technical Awareness
- Demonstrates a willingness to learn and build knowledge of relevant legislation and how it applies to the Legal Team’s work.
- Recognises when matters require clarification or escalation to a senior team member.
- Developing awareness of Prime’s responsibilities under management agreements, including an understanding that some work may fall outside of standard contractual scope.
Qualifications & Development
- A desire to work towards, or currently studying for, TPI Level 2 in Leasehold Management
